Planning and pricing a team retreat with Outpost
Most teams want two things before a discovery call: a sense of how pricing works, and how far ahead to plan. Here’s the honest version, plus a full FAQ covering the practical questions that come up most.
How pricing works
Retreat pricing is quoted per person, per day, and depends on team size, length, location, room configuration, and activity programming. Because Outpost owns the venues, there’s no agency markup layered on top of a third-party booking — you’re paying the operator directly. As a rough market frame, full-service Asia retreats for tech teams of 20–30 commonly land in the low-thousands per person for a multi-day trip; Outpost’s all-in cost typically compares favourably once you account for the coworking, coordination, and infrastructure you’d otherwise assemble yourself. Exact numbers come on a discovery call once we know your team size and dates.
How far in advance to book
Eight to twelve weeks is comfortable. We’ve turned around shorter timelines for small teams, but high seasons fill earliest — roughly April–September in Bali and December–March on Sri Lanka’s south coast.
Running a nomad community program or workation cohort
Outpost also hosts community programs and workation cohorts — accelerators, member programs, or organised group trips that co-locate for a few weeks. The model is the same as a retreat: accommodation, dedicated workspace, programming support, and a coordinator, so the organiser runs the program while Outpost runs the place. Ubud suits larger, higher-energy cohorts; Weligama suits focused, lower-cost ones with a surf-and-work flavour.

Can Outpost host a 20–30 person company retreat?
Yes — that's our core size, with private rooms and dedicated coworking. We host teams from roughly 5 to 50.
Do you handle dietary requirements?
Yes — vegan, vegetarian, halal, gluten-free and other requirements are sorted in advance.
Do you handle airport transfers and arrival logistics?
Yes — we coordinate transfers so the team arrives together rather than individually, in both Bali and Sri Lanka.
What about visas?
We provide visa guidance for Indonesia and Sri Lanka and can coordinate arrivals; both countries support visa-on-arrival for most nationalities. The application itself is each traveller's responsibility.
What's the internet and power situation?
In Ubud: coworking runs on dedicated, load-balanced internet (~200 Mbps) optimised for group video calls and large uploads. In Weligama: 300 Mbps shared bandwidth from multiple providers with an on-site generator for outage cover. Both sites have on-the-ground support to keep full work days running.
Do you include meeting rooms for retreats?
Yes — bookable meeting rooms, breakout space, workshop space, and call booths are part of the coworking infrastructure at both Ubud and Weligama.
